COVID-19 Update


The situation with the Coronavirus (COVID-19) has been rapidly developing and impacting our daily life.


The directors of Strata Management SA have met with our team to determine the best way forward for the health and safety of all team members, their families, clients and contractors.

We understand that the aim of SA Health is to slow the spread of the virus in order to reduce the impact upon the hospitals and as such we are all being emplored to reduce the amount of social contact that we have.


In order to assist with this the staff at Strata Management SA will not be carrying out any non-essential travel including property visits and face to face meetings while all staff that are in a position to work from home will do so for the foreseeable future.


An overview of measures being taken immediately:

  • All strata managers will work from home

  • Property visits will be restricted

  • Social distancing practices are in place for our administration staff who will remain in the office

  • Our office which is only open by appointment normally will only be available for contractor key collection and new corporation record delivery

  • Face to face contact at meetings will be temporarily restricted - electronic measures or proxy/absentee voting forms are available

  • All employee events, gatherings, training and networking have been placed on hold


Working from Home

Our Strata Managers have the capability to be able to log in to the server from home and have workstations established to continue to provide service to our clients.


The office phone lines for each manager have been diverted to their mobiles ensuring that contact remains available as per normal.


While we normally operate with our ‘huddles’ (meetings of the body corporate managers to discuss issues and learning opportunities) on Monday and Wednesday mornings to discuss and troubleshoot any issues managers are facing, the strata management team will continue to check in regularly through teleconference to ensure that complex issues and clarifications are still available to managers as per normal practice.


In essence, this is business as usual when contacting your body corporate manager. If the manager cannot take your call please leave a message so that they know you have called and this will be returned as soon as practicable. We are here to help with your corporation.


Meetings

Meetings are a critical part of the running of Strata and Community Corporations and the legislation provides timeframes in which meetings must be held.


Meetings may continue as directed by the office bearers of each corporation but we are anticipating that clients will make use of phone conferencing or proxies with dial-in options to be provided by the body corporate managers who will be discussing meetings with Presiding Officers of corporations shortly for meetings over the coming days/weeks.


While some corporations may wish to postpone meetings, the phone conferencing is easy for our team to organise and the manager can do so from their mobile, safe in their own home with multiple screens available to keep information at their fingertips while keeping the requirements to unit holders low also with just a phone needed to participate in the meeting.


It is standard practice for the meetings to be held 2-3 months following the close of the corporations financial year and as such we are currently working through meetings from the December/January EOFYs.


The concern in delaying multiple meetings is that the months ahead are already tentatively booked as corporations financial years come to a close and delaying meetings will mean that client corporations may be unable to hold a meeting on their chosen day of the week or timeslot as the number of meetings needing to be held during the year will not decrease.


Our aim is to provide the best possible service to our client corporations in a safe and responsible manner which will be discussed with your corporations Presiding Officer.


Maintenance Works

We anticipate that there may be some slow downs with maintenance works over the coming months as social distancing policies take hold and we ask for calm, patience and understanding that we do not want contractors putting their families at risk through these times.


Moving Forward

This situation remains fluid and further decisions may need to be made with short notice inline with Government advice.


The health and safety of our team, our clients, contractors and all families remains our primary concern and we thank you for your patience, understanding and patronage.


As we manage our way through these unprecedented times we thank you for your ongoing support and look forward to continuing to be able to provide our services to you.
